Coates Media runs the full marketing and technology stack for a Fred Astaire Dance Studios franchise group spanning multiple studios. This is a multi-year engagement that started from zero infrastructure — no website attribution, no unified CRM, no lead routing — and built a custom system that ties marketing, lead management, and student operations into one place.
What’s in scope
- CRM architecture. A custom-built Zoho One environment designed from scratch — modules, picklists, attribution fields, custom Creator apps, and Deluge automation behind the day-to-day operator experience. Years of work pulling marketing, CRM, lead management, and student operations into a single system.
- Marketing automation. A custom n8n stack handling lead intake from Meta and the website, deduplication, CRM sync, instructor routing, and lifecycle follow-up.
- Paid media and tracking. Meta and Google campaign management with end-to-end attribution back to enrolled students, not just form fills. Attribution that didn’t exist before this engagement.
- Brand and creative. Per-studio print and digital collateral — flyers, ads, lobby signage, social posts — tuned to each location’s market while staying inside the national brand.
- Reporting. Zoho Analytics dashboards for owners and studio managers — pipeline, source performance, instructor load, conversion.
Approach
When the engagement started, the franchise was running on disconnected spreadsheets, separate ad accounts, and partial CRM adoption. There was no website attribution at all. The work has been less about adding software and more about building the infrastructure that should have been there from the start — a unified operating picture where a lead can be tracked from first ad impression through enrollment, with automation handling the parts that were eating staff time without producing insight.
